Position Summary

Under general direction of the Chief of Police and the general supervision of the Administrative Manager, the position serves as a key member of the Police Department knowledgeable in all functions and procedures of the department and ensuring that the administrative functions in the applicable areas are functioning at a high level. The incumbent will provide executive support and coordinate and monitor daily operations for the Sacramento State Police Department. Operational support will include, but is not limited to, budget and personnel administration, dissemination of information through several communication channels, and provide administrative support to department managers. This position requires strong organizational and interpersonal skills, the ability to work independently without direction supervision, and requires the knowledge of handling confidential and sensitive materials.

FLSA: Exempt (not eligible for overtime compensation under FLSA). This position is benefits-eligible

CSU Classification Salary Range: $3,897 - $7,051 per month 

Hiring Range:  $3,897 - $4300 per month

Work Hours: Monday - Friday, 8:00am - 5:00pm. No telework is approved. Will be required to work nights and weekends.

Minimum Qualifications 

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications 

Experience:
1. Experience in accounting or financial management and analysis.
2. Experience in personnel/human resource functions.
3. Experience in maintaining and storing confidential documents, correspondence, and files.
4. Experience in providing administrative support functions such as scheduling and prioritizing of calendars, meetings and appointments.
5. Experience transcribing and dispersing meeting minutes and detailed reports.
Knowledge, Skills, Abilities:
6. Ability to perform a variety of administrative and technical duties utilizing standard procedures and practices.
7. Excellent organization, prioritization and multi-tasking skills to effectively work in a busy and diverse office environment.
8. Ability to apply judgment, discretion, and initiative.
9. Effective communication skills, both written and verbal.
10. Strong interpersonal skills with the ability to effectively handle all levels of interpersonal interactions (e.g. highly sensitive, confidential) and maintain cooperative working relationships
11. Ability to use web content publishing software programs (e.g. HTML Text Editor, HTML graphics production software, Cascade, Dreamweaver, etc.); knowledge of website management issues.
12. Ability to perform duties supporting personnel-related processes (e.g. assisting with recruitments, scheduling interviews, hiring student assistants, timekeeping, position descriptions, etc.).
13. Proficiency in a windows environment with working knowledge of MS Office Programs; such as Word, Excel, Outlook, PowerPoint, Access, and Publisher.
14. Proficient in the use of common office equipment e.g. copier, fax, calculator and printers.

Preferred Qualifications 

15. Bachelor's Degree from an accredited institution.
16. Two years professional experience in accounting or financial management and analysis.
17. Experience in the California State University (CSU) system, preferably in public safety.
18. Knowledge of the CSU, Sacramento State, State of California policies and procedures and law enforcement functions.
19. Experience designing, developing, and/or implementing changes to a website.
20. Experience working with a variety of project management tools including business process analysis and workflow improvement.
21. Experience in emergency preparedness, records storage and recovery of critical systems.
