Position Summary

With minimal supervision, the incumbent serves as executive assistant to the Dean of the College of Arts & Letters managing day to day affairs, scheduling priorities, meeting facilitation, and serves as the Dean’s representative and liaison. As a regional leader in arts and culture education and programming, the College requires that the incumbent collaborate closely with existing campus and community partners, exercising a high degree of independent judgement, ingenuity, and innovation in the execution of the College’s Anchor Institution Initiative. The incumbent serves as principle contact for College external communications, outreach, events planning, and brand management.

FLSA: Exempt (not eligible for overtime compensation under the Fair Labor Standards Act). Position is benefits-eligible.

CSU Classification Salary Range: $4,693 - $8,489 per month 

Hiring Range: $4,693 - $5,600 per month

Minimum Qualifications 

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications 

  1. Demonstrated ability to maintain a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.
  2. Experience in working with the creative community and/or scholars in the creative fields.
  3. Experience providing administrative and clerical support to a senior executive.
  4. Experience with project and event management, both large and small scale, including long-range planning and scheduling of events and programs.
  5. Demonstrated ability to facilitate cooperation and collaboration with stakeholders, and to motivate others in the completion of their tasks and assignments, while maintaining responsibility for overall project completion.
  6. Projecting and managing operating and project-specific budgets.
  7. Experience with external relations and communications.
  8. Experience with partnership cultivation, stewardship and networking.
  9. Effectively research, write and present reports, letters, web content, media and social media postings, and other correspondence.
  10. Professional experience with a variety of outreach strategies including social media, website management, and brand management.
  11. Demonstrated ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the college.
  12. Demonstrated ability to analyze problems and to develop, evaluate and recommend solutions.
  13. Demonstrated ability to maintain confidentiality, and exercise superior discretion, judgment, tact, diplomacy, creativity and initiative.
  14. Demonstrated ability to work independently, exercise good judgement and decision-making, and maintain scrupulous attention to detail.
  15. Demonstrated ability to communicate professionally with a wide range of contacts both on and off campus, and represent the College and University in a professional manner.
  16. Proficiency with all standard office software (Word, Excel, PowerPoint, Outlook, etc.) and media equipment and software.
  17. Knowledge of the professional development opportunities internships provide to students, of strategies to develop internship partnerships, and of criteria for reviewing sites and operations for consistency with documented policies and business needs.

Conditions of Employment

  • Ability to pass background check.

  • Must be available for occasional weekends and evenings, as events and projects require.

  • Must be available for regional travel and working from various University and community locations.

Required Licenses/Certifications 

Valid driver's license and maintenance of safe driving record required.
