Position Summary

The Administrative Support Coordinator II performs core functions of initiating, assessing, coordinating, leading, implementing, communicating, evaluating, and otherwise providing administrative support to the Full Circle Project in the College of Social Sciences and Interdisciplinary Studies. The position supports the program’s students and faculty, staff members across the university, and community stakeholders and exercises strong interpersonal skills that are sensitive, culturally appropriate, inclusive, effective, and confidential when necessary.

The incumbent is responsible for developing, maintaining, and analyzing program fiscal records. Additionally, the position is responsible for written and verbal communication with new and continuing students, guiding students though university processes; and assisting the program Director with program related projects including student support. Incumbents are expected to use general office equipment and a full range of office support technology and systems including word processing and spreadsheet packages, online software platforms to enter data and generate reports, email, and voice mail. In addition to supporting the program, this position collaborates with the SSIS Dean’s Office when needed, including coordinating all facets of program projects, convenings, meetings, and events with university stakeholders and community partners.  This person uses judgement and discretion to independently gather, analyze, interpret, problem-solve, and apply information and data, utilizing detailed knowledge of University and Program policies and procedures.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: $3865 per month - $4058 per month, commensurate with the candidate's education, experience, skills, and training.

The Full Circle Project aims to assist Asian American and Pacific Islander (AAPI) students throughout their entire college careers and provide ample opportunities to engage in service both on and off-campus to enhance their university experience.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 

  1. Experience coordinating and/or performing administrative support functions in a complex administrative environment
  2. Experience setting priorities, meeting deadlines, evaluating and making recommendations pertaining to operational and procedural matters
  3. Expertise with office software packages (e.g., Microsoft Office) and office equipment
  4. Strong organizational and multi-tasking skills and ability to initiate, coordinate, execute, and evaluate large-scale, complex projects that may involve coordination with the College and/or other programs and programs
  5. Ability to provide lead work direction, training, and guidance to student assistants or other office staff and provide input to performance evaluations, when needed.
  6. Ability to work with frequent interruptions
  7. Ability to work creatively and independently under general direction related to program goals
  8. Ability to interpret and apply policies and procedures independently and use judgment and discretion to act and make decisions and recommendations
  9. Ability to prepare correspondence and utilize spreadsheets and databases
  10. Excellent written and verbal communication skills with the ability to convey information clearly and accurately (e.g., reports) and with mastery of English grammar, punctuation, and spelling.
  11. Ability to maintain program website
  12. Ability to develop, research, analyze, evaluate, and recommend innovative solutions to a broad range of operation and procedural office and administrative problems
  13. Ability to use social media to professionally represent the workplace
  14. Skilled in interaction with others at all levels within and outside the university, including in sensitive interpersonal situations
  15. Knowledge and understanding of protecting and securing sensitive and confidential data and other forms of information
  16. Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds
  17. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

22. Proficiency with Common Management System (CMS), Human Resources / Student Administration (HR/SA); Cognos, Cascade, Concur, Saclink email; Financial Data Warehouse; Blackbaud; Add/Drop procedures

23. Experience with preparation of the course schedule, including scheduling classes and reserving rooms

24. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference
