Job Summary

Under the general direction of the Director of Advising, the Administrative Support Coordinator acts as the front office representative and is responsible for coordinating all administrative operations and functions of an office.

Key Responsibilities

  • Customer Service & Student Support: Provides customer service to students, faculty, administrators, and the public, including answering phones and greeting visitors, routing to the appropriate Advisor or other resource(s), as needed.
  • Financial Data Entry & Purchasing: Performs data entry of expenditures, reconciles funds, and reviews fund balances, under the guidance of CHHS administration and the Chair/Director.

Knowledge Skills and Abilities

Well versed in managing multiple line phone system and handling multiple incoming calls, giving relevant information to callers and routing calls appropriately. Skilled in greeting visitors, determining nature of business and directing correctly. Able to handle difficult situations tactfully. Knowledge of administrative procedures and experience performing clerical duties. Knowledge of campus policies and procedures.  Experience working with undergraduate students. Able to work and communicate efficiently with all students, faculty and staff. Proficient in Microsoft Office applications and relevant software applications; PeopleSoft/CMS experience preferred

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student, and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  •  Equivalent to four years of administrative support experience required.
  •  Equivalent four years in an administrative capacity with a wide variety of duties and responsibilities, which has provided the applicant with the knowledge and ability to organize and prioritize work as well as complete projects without supervision.

Physical Summary

Sedentary work - Involves mainly sitting. Walking and standing are minimal. Lifting is limited to lightweight objects. (10 pounds or less).

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

· Hiring Range: The hiring range for this position is $4,047 - $4,916 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,047 - $5,896 per month.

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
