Position Summary

Under the general direction of the Associate Dean for Faculty Support (ADFS), the Associate Dean (AD) Support Specialist serves as the first point of contact for the ADFS office and also provides back up support for the Associate Dean for Academic Programs (ADAP) office.

The incumbent provides administrative and clerical support and assists with projects, events, and activities while being cognizant of deadlines. The position requires a professional, dependable, and well-organized individual with initiative, good judgment, and excellent interpersonal skills. The administrative work performed is operational and procedural in nature and work is often project-oriented involving the full scope of activities from planning, initiation, coordination, and implementation to evaluation. Interpersonal contacts are varied, often high-level, and tend to involve a broad range of problem-solving activities. The incumbent will work closely with the ADFS staff and with the ADAP staff, as needed.

FLSA: Non-Exempt (Eligible for overtime compensation)

Anticipated Hiring Range: Anticipated hiring range is $3,681 - $4,100 per month, commensurate with candidate's education, experience, skills, and training.

Pay Plan: 12 months 

Work Hours: Monday – Friday, 8 am - 5 pm; occasional weekends and evenings. Partial telecommute may be available after a period of training and as approved by supervisor.

The Associate Dean for Faculty Support (ADFS) Office has oversight of policies, procedures, and processes that are consistent with fostering and maintaining a high‐quality and productive faculty in the College of Business (COB).

In collaboration with the Dean, the Associate Dean for Academic Programs (ADAP) Office, and various constituencies, the ADFS Office is responsible for facilitating resource allocation and faculty development activities to further the instructional and scholarly excellence for the College, including oversight of processes related to carrying out, reporting on, and evaluating contract research, grants, and other faculty scholarly activities.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

  5. Ability to make independent decisions on day-to-day operations
  6. Expertise in office software packages, technology, and systems such as Microsoft Office Word, Excel, Outlook, Teams
  7. Ability to interpret and apply policies and procedures independently, and use judgment and discretion to act when precedents do not exist.
  8. Ability to troubleshoot most office administration problems and respond to all inquiries and requests related to work area.
  9. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.
  10. Ability to maintain confidentiality and identify sensitive information.
  11. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference.
  12. Ability to effectively write and present own reports.
  13. Ability to effectively handle interpersonal interactions at all levels and handle highly sensitive interpersonal situations.
  14. Ability to use negotiation and persuasion skills to achieve results and expedite projects.
  15. Ability to manage multiple projects and priorities with competing deadlines.
  16. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications 

  1. Experience working in an institution of higher education.
  2. Knowledge of university systems software, such as: CMS, PeopleSoft, Student Administration, Class Schedule/Curriculum Management, Personnel Management/Temporary Faculty Hiring, CMS Financials including but not limited to COGNOS, Procurement Card, Purchasing (all modules), Visitor parking, ASTRA
