Position Summary

The Executive Assistant for the Associate Vice President/Dean of Students Office is directly responsible to the Associate Vice President for Student Affairs/Dean of Students (AVP/DOS) within the broad guidelines and established procedures, policies, and regulations governing faculty, staff, and administrators.

The Executive Assistant to the AVP/DOS also provides administrative support to the Associate Dean of Student Affairs, and the Assistant Dean of Students/Campus Conduct Officer, and serves as back-up when the Executive Assistant to the VPSA in unavailable.

Work involves a broad scope of duties to address and support complex and sometimes unprecedented administrative work in support of the AVP/DOS and their designees. The Executive Assistant participates with the Student Engagement & Success’ Leadership Team and is responsible for direct interaction with students, students’ families, upper-level campus administrative and academic administrators, community members, private and government officials, as well as staff in the Chancellor’s Office. As a part of these interactions, the incumbent will receive and disseminate confidential information that must be treated with a significant level of judgement and discretion. Furthermore, this incumbent works collaboratively with other members of the AVPSA’s leadership and staff throughout the division on multiple projects supporting university priorities and activities.

FLSA: Exempt (not eligible for overtime compensation)

Anticipated Hiring Range: $4,170 per month - $5,025 per month

CSU Classification Salary Range: $4,170 per month - $7,545 per month

Minimum Qualifications 

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications 

  1. Experience supporting high-level administrative leaders in a complex, diverse environment.
  2. Effective interpersonal skills and the ability to interact productively with students and their families, people at all levels of the organization, high level legislative representatives, executives and representatives from external partners and the general public.
  3. Experience in appointment and meeting scheduling, travel planning, and excellent organizational skills including some experience in workflow and/or project management: ability to effectively organize, multitask, delegate, and timely and appropriate follow up.
  4. Ability to be flexible and adapt to rapidly changing priorities;
  5. Ability to flex a work schedule to fit the specific needs of the AVPSES (e.g. early evening work, occasional weekend work, and occasional travel if needed.)
  6. Ability to work in a fast-paced, sometimes high-pressure environment while simultaneously juggling multiple  high priority tasks.
  7. Ability to work independently and as a member of a highly collegial and productive team.
  8. Ability to interpret policies, procedures, and other institutional communications and summarize them and/or communicate them effectively to others in writing or verbally.
  9. Ability to use standard office equipment (e.g. PC and laptop computers, color and laser printers, scanners, copiers, fax machine, multi-line phone system, voicemail, LCD projector).
  10. Proficiency in Microsoft Office software with advanced skills in Microsoft Word, Outlook, Excel and PowerPoint
  11. Proficiency in proof-reading and researching information, on the internet or through other sources, and providing brief, executive level summaries when needed.
  12. Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

Preferred Qualifications 

  1. Baccalaureate, associate degree, administration certificate or other equivalent credentials or experience.
  2. Five or more years’ experience working with a high-level administrator in an educational or similar setting or in a complex business environment.
  3. Direct experience and knowledge of working in an educational and/or university environment.
