Position Summary

Under the general direction of the Director, Admissions & Outreach, Office Operations Coordinator is responsible for assisting with daily operations and provides administrative support for the office of Admissions and Outreach. Primary responsibilities include assisting with travel arrangements and procedures for staff, managing office supply inventory, event planning, budget management and managing the Director’s calendar. Work also includes compiling data to prepare reports and managing personnel actions within the department. The incumbent must be able to work independently to ensure efficient functioning of the Admissions and Outreach office.

FLSA: Non-Exempt (eligible for overtime)

Anticipated Hiring Range:  $3,681 per month - $3,865 per month, commensurate with candidate's education, experience, skills, and training

CSU Classification Salary Range: $ 3,681 per month - $ 6,034 per month

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 

Education & Experience

  1. Experience providing a broad range of customer service
  2. Experience in the use of computers, common office equipment (fax, copier, printer, multi-line phone, scanner, etc.), and software systems including Microsoft Office Suite (Outlook, Word, Excel, Power Point) and internet browsers

Knowledge, Skills, & Abilities

  1. Ability to use judgment, analytic ability and problem solving skills to complete assigned tasks in a timely and accurate manner amidst competing and shifting priorities
  2. Ability to learn, interpret, and apply a wide range of policies and procedures related to administrative specialties
  3. Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques
  4. Ability to compile, write, and present reports related to administrative specialties
  5. Ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit
  6. Ability to use active problem solving and effective interpersonal skills while interacting with front line contacts and other campus and community members
  7. Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them
  8. Excellent verbal and written communication skills

Preferred Qualifications 

  1. Experience using campus programs such as Common Management System (CMS), SacVault, Cognos, CFS Finance Access, and Search Committee Access
  2. Experience working with a financial reconciliation system
  3. Experience working with diverse populations
  4. Experience in an academic environment working with high school and/or college students
