Under the general direction of the Sr. AVP of University Communications, the Executive Assistant/Business Operations Analyst provides executive administrative support to the Sr. AVP and is responsible for managing the daily administrative operations of the office of University Communications.
Administrative duties may include but are not limited to budget monitoring and projections; compensation analyses and recommendations; working with Procurement and with the Director of Marketing on contracts; human resources, including recruitment and personnel procedures, timekeeping and payroll transactions; performing general office administrative functions, such as the purchasing of office supplies and equipment, and managing the calendar for the Sr. AVP.
The incumbent is also responsible for managing and creating a welcoming space for the public and staff, including management and staffing of the Front Desk area, and ensuring that the office is properly equipped and stocked. As an integral member of the Sr. AVP’s executive team, the incumbent will have oversight over certain special projects and areas, including the creation of an onboarding manual, facilitating internal office communications, and providing lead work direction to student assistants.
FLSA: Non-Exempt (Eligible for overtime compensation)
CSU Classification Salary Range: $3,518 - $6,791 per month
Hiring Range: $3,518 to $5,417 per month commensurate with candidate's education, experience, skills, and training

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
1. Experience providing administrative support at an executive level and other comparable positions.
2. Experience in budget monitoring, reconciliation, and fiscal analysis.
3. Experience with human resources policies and procedures specifically in recruitment and payroll.
Knowledge, Skills, Abilities:
4. Ability to effectively investigate and analyze issues with broad administrative impact and implications, and recommending process changes for improvement and efficiencies as appropriate.
5.Knowledge of budget and fiscal analysis and techniques; ability to analyze data and make budget projections.
6. Knowledge of human resources policies and procedures; ability to interpret applicable federal and state laws.
7. Ability to work independently as well as collaboratively with a team.
8. Ability to organize, coordinate, and perform work in various situations where numerous demands and deadlines may be involved.
9. Ability to effectively work in a fast-paced environment.
10. Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
11. Ability to effectively manage projects.
12. Ability to effectively interpret, organize, and present information and ideas in a written or presentation format.
13. Ability to use applicable and Unit-adopted software (e.g., Workfront.)
14. Ability to develop informational materials such as charts and infographics, etc.
15. Ability to train others and provide lead work direction to support staff.
16. Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word) or related software.
