Position Summary
The Executive Assistant to the Vice President of University Advancement (VP) and for the University Foundation at Sacramento State (UFSS) Board is directly responsible for the administrative assistance to the Vice President, with a broad and complex set of assignments related to the duties of the Vice President having broad campus and potentially systemwide impact. Under general direction the Executive Assistant manages, coordinates, and implements the operations and projects of the VP’s Office, supporting the work of the VP and collaborating with other University divisional VP assistants. The Executive Assistant to the VP oversees the VP’s complex schedule, exercising initiative and independent judgment, requiring awareness and interpretation of the VP’s priorities. The incumbent interacts professionally with high-ranking public officials, campus administrators, faculty, staff, alumni, donors and volunteers. The incumbent is responsible for providing support to the Vice President, including: travel arrangements, agenda and materials preparation, planning division wide meetings and retreats, and preparing PowerPoint presentations and drafting correspondence. In addition, this position serves as the office administrator, provides budget support, and assists with staffing special events that support Advancement goals and campus-wide initiatives.
As Executive Assistant for the UFSS Board, incumbent is responsible for independently creating and maintaining documents and records on behalf of the UFSS, including but not limited to, agendas, minutes, and other official records of the Board. The Executive Assistant for the Board is responsible to assist the VP/Executive Officer with volunteer engagement and satisfaction of Foundation Board members.
FLSA: Exempt (not eligible for overtime compensation under FLSA). This position is benefits-eligible.
CSU Classification Salary Range: $5,022 - $9,083 per month
Hiring Range: $5,022 - $6,250 per month commensurate with candidate's education, experience, skills, and training
Recruitment Type: Regular (Probationary)
Work Hours: Monday - Friday, 8:00am - 5:00pm with occasional weekend and evening hours, depending on department needs. This is an on-site position.
University Advancement serves as the philanthropic arm of the University and is responsible for building and fostering strong, effective alumni, donor, and community relations to secure private resources in support of the University’s priorities, academic programs, capital projects, and student scholarships. University Advancement is responsible for alumni relations, donor and alumni communications, charitable gifts to the institution, as well as corporate and foundation partnerships with a wide variety of constituents. University Advancement is also the official liaison to auxiliary organizations affiliated with the University, including the University Foundation at Sacramento State and the Sacramento State Alumni Association.

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program
field with a foundational knowledge of public administration principles, practices, and methods. This foundation
would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative
policies, procedures, practices, or programs.
- Bachelor’s degree from an accredited university and/or equivalent training and administrative work experience.
- Ability to serve as the key contact and expert for a highly complex program.
- Ability to serve as an individual contributor providing expertise and functional leadership.
- Ability to oversee the day-to-day operations of a program or functional area including providing lead work direction to other professional and/or technical staff.
- Ability to be accountable for short- and long-term goals and objectives.
- Ability to carry out a variety of professionally complex assignments, exercising sound judgment, political skill, and discretion.
- Ability to work independently and exercise sound judgment,
- Demonstrated knowledge of the theories, principles, methods and practices associated with University Advancement, including applicable internal policies and procedures and pertinent laws and regulations.
- Ability to understand highly complex laws and regulations that require substantial judgment and discretion in interpreting and applying them to the specialty or program area.
- Demonstrated ability to gather data and analyze complex situations accurately and adopt or recommend an effective course of action
- Experience with administrative process analysis and project planning.
- Experience in setting goals, priorities and meeting established target dates.
- Experience independently researching and resolving problems.
- Experience providing analysis and recommendations.
- Exceptional communication skills in person, on telephone, via email or web chat; ability to maintain composure and professionalism.
- Ability to effectively interact with a diverse population of students, faculty, staff, executives, external entities/agencies and the general public.
Condition of Employment
Ability to pass a background check.
- Experience working at an institution of higher education.
