Position Summary

Under general direction of the Director of Payroll Services and the Payroll Lead Analyst, the incumbent provides administrative support to the Payroll Office. This position is responsible for the day-to-day operations of the Payroll Service’s office. The position serves as the receptionist of the payroll office, provides administrative and clerical support, assists and coordinates projects, events and activities while being cognizant of deadlines. This position’s duties and responsibilities are directed towards working as a member of the Payroll Services Office in the processing of the University’s payroll and providing service to those seeking assistance with payroll transactions.

This position requires knowledge of Microsoft Office and CMS (Common Management System) as well as University policies and guidelines. General duties will include assisting the campus community with Payroll queries and assisting the Payroll staff with payment review, new employee onboarding, file room maintenance and other duties as needed.

Strong communication skills and professionalism are required, since this position is a main point of contact with the general public and University employees. The incumbent must maintain confidentiality of materials and information received in the course of their duties.

FLSA: Non-Exempt (eligible for overtime compensation under FLSA). This position is benefits-eligible.

CSU Classification Salary Range: $3,440 - $5,639 per month 

Hiring Range:  $3,440 - $4,200 per month

Department Information 

Payroll Services is responsible for processing all documentation associated with the issuance of payroll warrants to all employees including special consultants, casual workers and student assistants.

The State of California State Controller’s Office has responsibility for actually issuing all payroll warrants. Payroll Services also has responsibility for coordinating all leave credits for employees who are eligible for accruing paid leave credits.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

General Knowledge/Skills/Abilities:  

  1. Thorough knowledge of English grammar, punctuation and spelling. 
  2. Thorough knowledge of office systems and ability to use a broader range of technology, systems and packages. 
  3. Ability to independently handle multiple work unit priorities and projects.
  4. Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist. 
  5. Working knowledge of interpreting policies and procedures.
  6. Ability to perform business math, such as calculate ratios and percentages, track financial data, and make simple projections. 
  7. Ability to draft and compose correspondence and standard reports.
  8. Ability to effectively handle a broad range of interpersonal contacts, including those at a higher level and those sensitive in nature.
