Under the general direction of the Executive Director of Student Success & University Initiatives, the Executive Assistant provides executive administrative support to the Director and is responsible for the daily administrative operations of Student Success. Administrative duties may include but not limited to human resources, processing personnel and payroll transactions for staff, students and faculty, budget monitoring and projections, performing office administrative functions, purchasing needs, developing communication and informational materials such as brochures, infographics, and updating the department’s website.
The incumbent is also responsible for the program administration of student success initiatives and serve as the project analyst for programs such as the Milestone Project and Finish in Four/Through; duties include but not limited to analyzing and evaluating programs and outcomes, informing and communicating with constituents regarding program processes and procedures, and articulating patterns of student progression with initiatives designed to minimize administrative barriers towards degree completion.
CSU Classification Salary Range: $3,288 - $6,347 per month
Hiring Range: $3,288 - $5,417 per month
Recruitment Type: Regular (probationary)
Work Hours: Monday - Friday; 8am-5pm. (Summer hours observed.) Partial telework schedule may be available after training period, as determined by management.
Student Success and University Initiatives is responsible for working with campus partners in creating an environment where students can achieve success. The Department works with campus partners to implement initiatives centered on improving graduation rates, including Finish in Four and Through in Two campaign, predictive analytics, and enhanced advising and course scheduling.

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
1. Experience providing administrative support at an executive level or other comparable positions.
2. Experience in budget monitoring, reconciliation, and fiscal analysis.
3. Experience with human resources policies and procedures.
Knowledge, Skills, Abilities:
4. Expertise in investigating and analyzing problems with broad administrative impact and implications.
5. Working knowledge of budget and fiscal analysis and techniques; ability to analyze data and make budget projections.
6. Working knowledge of human resources; ability to interpret applicable federal and state laws.
7. Demonstrated ability to develop communication materials such as brochures, infographics, charts, etc.
8. Ability to work independently, organize, coordinate, and perform work in various situations where numerous demands are involved.
9. Ability to effectively interpret, organize, and present information and ideas in written or presentation format.
10. Ability to use applicable software to update the appropriate website.
11. Strong interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
12. Ability to train others and provide lead work direction.
13. Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, and Word) or related software.
14. Experience in working in higher education.
15. Experience working with CSU systems such as Financial Data Warehouse, CFS, CMS HR.
16. Experience developing communication materials such as brochures, charts, infographics and presentations.
