Position Summary

The position coordinates administrative support, events, scheduling, and logistics for the Career Center and Developing Hispanic Serving Institutions’ (DHSI) Degree with a Purpose: Integrating Career Development and Financial Wellness into the College Experience Project. Through a collaborative career development approach, the Career Center engages, educates and empowers our students and alumni to thrive and successfully contribute to the community and the economic workforce of the future. The Career Center offers proactive comprehensive career development programs, fostering partnerships with community and campus businesses to provide hands-on work experience for students and alumni. Our various services help students and alumni reach their goals, including choosing or changing a major or career path, finding and applying for internships and jobs, learning job search strategies which include interview skills, and revising resumes and cover letters. The Career Center is able to assist students in reaching both their educational and life-long career goals.

Under the general direction of the Director of the Career Center and Project Director of the Developing Hispanic Serving Institutions’ Degree with a Purpose Project, the incumbent is responsible for planning, coordinating and implementing Career Center and DHSI Project events and coordinating logistics for a wide range of administrative functions for the Career Center.  The scope of work requires the incumbent to address and resolve various problems which often require the interpretation of policies and procedures and the use of ingenuity to put information together in new ways.  Work also requires the Administrative/Logistics Coordinator to collaborate with staff at all levels within the organization and maintain a good working relationship with Student Affairs’ Communications, IT and Business Resources, the University Union, Space Management, Facilities Management, Center for Teaching and Learning, Dining Services, Procurement and Contracts, University Enterprises, Inc. (UEI) Sponsored Projects, and other departments on campus. The position may include lead work direction and training of others in standard office and event procedures and program information.

FLSA: Non Exempt

CSU Classification Salary Range: $ 3,276.00 - $ 5,148.00 per month

Hiring Range: Anticipated hiring range is near or at the minimum of the classification, commensurate with candidate's education, experience, skills, and training.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 


  1. Experience coordinating logistics and/or administrative support functions.
  2. Experience scheduling, organizing, and planning events.
  3. Experience providing customer service.


  1. Strong verbal and written communication skills. Thorough knowledge of English grammar, punctuation and spelling. 
  2. Demonstrated project management, time management and organizational skills, with the ability to manage details of multiple priorities and complex projects and events
  3. Thorough knowledge of office systems and ability to use a broad range of technology, systems and packages. 
  4. Ability to apply independently a wide variety of policies and procedures where specific guidelines may not exist. 
  5. Ability to perform business math.  
  6. Ability to draft and compose correspondence and standard reports, including reporting on event details.
  7. Ability to effectively handle a broad range of interpersonal contacts from diverse backgrounds, including those at a higher level and those sensitive in nature. 
  8. Ability to organize, plan, develop, and assist in designing and distributing event marketing and promotional materials (e.g. flyers, brochures, surveys, email communications, etc.).
  9. Proficiency with standard office programs (e.g. Microsoft Office Suite) with the ability to perform accurate data entry using databases, and create presentations and other documents.
  10. Ability to use social media technology (e.g. Facebook, Twitter, LinkedIn, Instagram).
  11. Ability to appropriately handle confidential materials
  12. Ability to drive and maintenance of good driving record.

Preferred Qualifications 

  1. Experience working in an institution of higher education.
  2. Knowledge of a career services management system, such as Symplicity or Handshake
  3. Knowledge of Common Management System (CMS), EAB or comparable student information system.
  4. Experience with events management and scheduling systems (e.g. OPUS, ASTRA).
  5. Knowledge of federal grant programs and regulations or of other programs with similar goals and objectives as Developing Hispanic Serving Institutions’ (DHSI) programs.

Drivers license and maintenance of good driving record.
