Position Summary

The Senior Administrative Coordinator provides direct administrative staff support to the CCE Associate Dean. The incumbent works as the direct assistant to the Associate Dean to include calendar scheduling, travel logistics, preparing business documents, meeting preparations, preparing and tracking procurement and expenses, and other clerical duties. The incumbent is further responsible for the coordination of events, internal and external communications, and office systems and protocols in support of the Associate Dean, and CCE programs or operations under the authority of the Associate Dean. Under general direction, the incumbent will oversee the supervising of student assistants.

The position will also work with the Special Assistant to the Dean and other Senior Administrative Coordinators to provide back-up and support across the Dean and two Associate Dean offices, to help coordinate enterprise wide projects or initiatives, and to develop standard operating procedures and resources to support office operations.

The incumbent is expected to work under pressure with frequent interruptions in a fast-paced environment while prioritizing assignments in order to meet deadlines. The incumbent must use professional decorum in working with administrators, staff, instructors, community partners, and visitors. The incumbent must possess strong customer service skills, be attentive to detail, have the ability to work across a diverse college team, and be able to adapt to different work styles and preferences. The incumbent must maintain confidentiality of information and materials received within the office.

FLSA: Non-exempt

CSU Classification Salary Range: $3,440 - $5,639 per month 

Hiring Range: $3,440 - $5,639 per month

Salary Grade/Range:  Grade II

Pay Plan: 12 months 

Work Hours:  Monday – Friday, 8 a.m. – 5 p.m.; work hours may vary dependent on department operations

The College of Continuing Education (CCE) extends the mission of the university by increasing access for non-traditional learners. With a primary expertise on serving adult learners, CCE provides programs and services to individuals and employers year-round, unbound by traditional semester schedules and formats. CCE serves a hybrid student body that extends beyond California, serving over 80,000 learners annually through in-person, hybrid and fully online workshops, courses, conferences, certificate and degree programs.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organized structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

  6. Excellent interpersonal skills with the ability to effectively communicate verbally and in writing with all levels of the organization and handle front-line contacts in a diverse environment while providing excellent customer service.
  7. Expert knowledge of office systems and ability to use a broader range of technology, systems, and packages, as well as fluency in using standard office software such as MS Word, Access, Excel, PowerPoint, Teams and Outlook.
  8. Strong organizational and time management skills
  9. Ability to maintain confidentiality and sensitive information.
  10. Ability to work independently as well as part of a team.
  11. Strong problem-solving skills and ability to resolve issues and conflicts.


  1. Ability to travel locally and statewide (minimal), as needed, to support the essential functions of the position.

Preferred Qualifications 

  1. Experience working in continuing education and/or higher education.
  2. Comprehensive and detailed knowledge of applicable university infrastructure, policies and procedures.
  3. Knowledge of and experience using system software: C2K Continuity Spectrum, Concur, EMS.
  4. Knowledge of the various departments, functions, programs and services which encompass the College of Continuing Education.
