Position Summary

The Administrative Support Coordinator II (ASC II) serves as support for, and is supervised by, the Design Department Chair. The incumbent will serve as lead for administrative staff and be responsible to provide administration and support for the Department of Design. This includes budget management, building and maintaining the department’s course schedule and faculty workload. The position is responsible for facilitating lecturer hiring, entitlement tracking, and contract generation, and maintaining personnel files.

CSU Classification Salary Range: $3,352 - $5,639 per month

Hiring Range: $3,440 - $3,800 per month

Department Information 

The Department of Design and is housed within the College of Arts and Letters. Our department seeks to prepare our students to have an impact in a creative environment that requires collaboration, adaptation, and leadership. We recognize that the world in which we live and work is shaped by an ever-increasing array of visual information. To prepare them for this rapidly changing world, our students learn to work creatively and to explore new possibilities in their respective disciplines by working collaboratively with peers from across our range of concentrations. Our department offers a BFA in Photography, BFA in Graphic Design, a BFA in Interior Architecture, and a BA in Design Studies. Our department is comprised of 700 majors, 14 tenure / tenure track faculty and 10+ part time faculty.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.

These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

Required Qualifications 

  1. Demonstrated ability to maintain a welcoming and inclusive work environment with diverse colleagues and constituents including faculty, students, staff, and members of the community.

  2. Experience administering, tracking and reconciling a complex budget consisting of multiple sources of revenue and expenses.

  3. Demonstrated ability to interpret and apply and communicate policies and procedures independently, and use sound judgement and act with discretion.

  4. Strong written and oral communication skills with demonstrated ability to prepare professional materials.

  5. Demonstrated ability to anticipate, assess, and resolve standard office administration problems and respond to all inquiries and requests related to work area.

  6. Demonstrated ability to organize and prioritize multiple time-sensitive tasks and complete them with a high degree of accuracy while handling frequent interruptions.

  7. Demonstrated ability to evaluate and make independent decisions about day to day operations.

  8. Experience in training and lead direction of staff and working in teams.

  9. Continual analysis of operations and procedures to develop recommendations for changes and updates within the department.

  10. Experience maintaining sensitive and confidential information and demonstrated ability to use discretion regarding confidential matters.
  11. Demonstrated ability to collect, evaluate, and interpret data to make appropriate recommendations.

Preferred Qualifications

12. Knowledge of University infrastructure, policies and procedures.

13. Experience using University programs such as CMS, CFS, Cognos, Astra, and OnBase.

14. Experience in academic schedule building.

15. Experience in working with the creative community and/or scholars in the creative fields.
