Position Summary

The Administrative Support Coordinator II (ASC II) provides administrative and clerical support through successful coordination of projects/events/activities while being cognizant of deadlines. Under general supervision of the Department Chair, the incumbent is responsible for the day-to-day office management.
 
The ASC II is responsible for the Department’s records (including the retention and/or shredding of those records). The ASC II maintains the Department’s financial records, reviews the University financial reports, and reconciles all the Department accounts. The ASC II is the Department scheduler and works with the Department Chair to create the Department’s schedule of classes in CMS for each academic year.
 
This position requires an individual who is self-motivated, well organized, displays good judgment, interacts well with others, and has knowledge of the University infrastructure, policies, and procedures.

FLSA: Non-Exempt

CSU Classification Salary Range: $3,352 - $5,639 per month 

Hiring Range: $3,352 - $3,800 per month

Department Information 

The Geography Department is an academic department housed in the College of Natural Sciences and Mathematics. The Department offers numerous lecture and lab sections of a variety of lower division courses covering general education requirements. The upper-division lecture, lab and field courses concentrate on the Geography major. The Department offers a Bachelor of Arts Degree in four areas of concentration, along with minors in Geography and Geographic Information Systems (GIS). There are eight full-time faculty, along with a eight part-time faculty. Currently the number of Geography Majors is approximately 100.

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
 
These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

3. Ability to do basic website updates and maintenance
4. Ability to perform business math and track and analyze financial and/or budgetary data, and make accurate projections requiring some inference.
5. Ability to manage complex scheduling and records.
6. Ability to independently handle multiple work unit priorities and projects.
7. Ability to interpret and apply policies and procedures to address problems and develop solutions.
8. Ability to manage diverse interpersonal situations at all levels, often requiring tact and discretion and the resolution of a problem.
9. Ability to maintain confidentiality.
10. Ability to communicate effectively orally and in writing.
11. Proficiency in standard office equipment and programs (e.g. Word, Excel, PowerPoint, Access, Internet Explorer)

Preferred Qualifications 

12. Experience working in an institution of high education.
13. Knowledge of classroom scheduling process.
14. General knowledge of Geography’s major, concentration, and minors.
15. Familiarity with University software (CMS, OnBase, Cognos)
