Position Summary

The Confidential Administrative Support Coordinator II (CASII) provides direction and oversight of various complex administrative operations serving Human Resources, and provides executive assistance of a complex and confidential nature to the Sr. Associate Vice President for Human Resources (Sr. AVP for HR). Responsibilities include, but are not limited to, records management, policies and procedures, coordination of projects, programs and assisting with various committees. In addition, the CASII is responsible for all administrative functions performed in the Sr. AVP for HR’s Office, and provides strategic support to the directors of Human Resources and the department in general. The CASII is part of the Human Resources Management Team, reporting directly to the Sr. AVP for HR. This position works closely with Human Resources directors and their staff on various administrative tasks as needed.

FLSA: Exempt (Not eligible for overtime)

CSU Classification Salary Range: $4,233.00 - $9,514.00 per month 

Hiring Range: Anticipated hiring range, within the classification range - $4,233 - $6,667 per month, commensurate with candidate's education, experience, skills, and training.

Salary Grade/Range: 2

Department Information 

The Office of Human Resources supports the goals and objectives of the University through the development, implementation, and maintenance of human resource programs, policies, and processes which include the recruitment, development, and retention of diverse, competent, and talented professional personnel. Our skilled staff is available to provide you with professional and timely information, advice and counsel in the areas of benefits, classification/compensation, recruitment, employee and labor relations, payroll, and professional development and training.

Minimum Qualifications 

To enter this classification at position skill level I, the incumbent must have a basic foundation of knowledge of the principles of organization, administration and management; and the ability to analyze and find solutions to problems, work independently, communicate effectively, and write clear and concise reports. Some positions may require a basic knowledge of research techniques and statistical methods. This foundation would normally be obtained through a bachelor’s degree or professional training program specific to the position (e.g., Certified Public Accountant) and directly related work experience, or a combination of education and experience that demonstrates the ability to perform the essential functions of the position.

Required Qualifications

Experience

  1. Professional experience providing executive-level administrative support to a senior manager or administrator, including appointment and meeting scheduling, and travel arrangements.
  2. Experience supervising and/or providing lead work direction to staff (e.g., setting work priorities, providing direction, and delegating tasks).
  3. Experience interpreting complex policies and procedures and communicating them effectively to others.
  4. Professional experience monitoring, tracking, and reconciling budget expenditures.

 

Knowledge/Skills/Abilities

  1. Excellent organizational, time management and multi-tasking skills.
  2. Knowledge of records management principles, policies, and best practices.
  3. Strong analytical skills with the ability to identify and analyze issues and develop, recommend, and evaluate solutions.
  4. Ability to maintain confidentiality of information and documents utilizing judgment, diplomacy, and discretion. 
  5. Ability to work independently and as a team member.
  6. Ability to be flexible and adapt to change easily. 
  7. Excellent verbal and written communication skills.
  8. Effective interpersonal skills to interact with all levels of staff, management, and external constituents.
  9. Ability to maintain professionalism in order to represent the Office of the Human Resources (OHR).
  10. Proficiency with Microsoft Office Suite software (e.g. Word, Excel, Outlook, and Powerpoint).

  1. Experience using web editing programs, updating web sites.
  2. Professional experience managing and coordinating small and large scale events.
  3. Professional experience working for a college or university.
