Position Summary

Under the general supervision of the Office of Graduate Studies Information Technology Consultant and Leadership Team, this position is responsible for optical-image scanning of incoming graduate and credential academic transcripts, admission applications and all other documents for the graduate and credential student population. This position is responsible for the daily, weekly and monthly production and management of graduate and credential admission-related data extracts, documents and correspondence. The individual must have the ability to train student workers to assist in various duties throughout the year. The individual must have excellent computer knowledge including full working knowledge of network communication protocols and utilities. The individual must have knowledge of student records systems and document imaging processes and management. The individual must maintain a high level of accuracy and attention to detail. The individual must have excellent communication and time management skills and a broad knowledge of general office functions. The incumbent must be able to work closely with other staff in a team environment.

FLSA: Non-Exempt

CSU Classification Salary Range: $2,951 - $4,960 per month 

Hiring Range: $2,951-$3,626 per month

Minimum Qualifications 

Knowledge and Abilities:

General knowledge of data processing systems and their use, data processing procedures, basic programming elements and computer terminology.

Ability to lead and train others; understand, interpret, and apply policies and procedures; follow oral and written directions; communicate effectively; and analyze situations accurately and take effective action.

Experience:

Equivalent to three years of experience in the performance of general office clerical work, two years of which shall have involved journey-level data control activities. In addition, education above the high school level may be substituted for up to one year of required general clerical experience on the basis of either, (a) one year of general education being equivalent to six months of experience, or (b) one year of education of a business, commercial or data processing nature being equivalent to one year of experience.

Required Qualifications 

  1. Work with data processing systems using established procedures
  2. Understand basic programming elements and computer terminology
  3. Perform detailed clerical work requiring judgment, accuracy, and speed.
  4. Implement multiple work unit priorities and projects without interruptions.
  5. Understand and follow established policies and procedures.
  6. Analyze situations accurately, and take effective action.
  7. Follow oral and written directions, analyze situations accurately, and take effective action
  8. Perform standard math, such as calculate ratios and percentages, track data, and make simple projections.
  9. Communicate effectively with others, including those at a higher level, and about issues sensitive in nature.
  10. Develop and deliver training materials.
  11. Experience equivalent to three years of experience in performance of general office clerical work, six months of which shall have involved working with data processing equipment and tabulating processes.
  12. Experience coordinating clerical and administrative support functions.
  13. Experience handling confidential information.

Preferred Qualifications 

14. Detailed working knowledge of CSU/University practices and regulations, policies, and procedures. 15. Extensive experience using Common Management System (CMS/PeopleSoft) programs, OnBase or other document repository database, and University Data Warehouse

15. Effective interpersonal and customer service skills with the ability to provide front office reception/support if needed

16. Strong organizational skills

17. Problem-solving and conflict resolution skill
