Position Summary

Under the general supervision of the Chief of Staff and Deputy Chief of Staff, and the lead work direction of the Director of University Events, the Special Events Finance Analyst (Administrative Analyst/Specialist-Exempt I) is responsible for product procurement, contract review, overseeing special event financial planning and budgeting, and vendor negotiation. The responsibilities involve establishing strong internal relationships, financial program development, negotiation, budget implementation and fiscal reporting. The Finance Analyst plans, executes and coordinates multiple fiscal projects simultaneously at varying stages. The Finance Analyst must have a commitment to quality and to providing the highest level of service possible.

Based on an approved financial plan, the Special Events Finance Analyst ensures that all fiscal components are properly executed by working closely with the selected (internal and external) service providers and procurement services to develop clear and complete specifications, contracts, purchase orders and standards of service; by monitoring service providers’ progress towards the agreed upon objectives and ensuring that costs remain within the established budget; and by maintaining regular communication with the Director of University Events.

In addition, the Special Events Finance Analyst will lead projects and events as needed.

FLSA: Exempt

CSU Classification Salary Range: $3,897-$7,051 per month 

Hiring Range: $3,897 - $4,500 per month

Recruitment Type: Temporary - Appointment is temporary and renewable. Reappointment is contingent on funding, work performance, and recommendation of supervisor.

Time Base: Full-Time

Pay Plan:  12 month

Work Hours: M-F 8 a.m. - 5 p.m.; other hours as required.

Minimum Qualifications 

Entry to this classification requires general knowledge and skills in the applicable administrative and/or program field with a foundational knowledge of public administration principles, practices, and methods. This foundation would normally be obtained through a bachelor's degree and/or equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications 

Experience:
Experience with the financial planning of complex and/or large-scale events (e.g. vendor negotiation, financial reporting, budgeting, fiscal analysis).

Experience performing high-level, quality-oriented, and detailed duties while being dependable, proactive, and responsive.

Experience in overall events management, including planning, organizational development, decision making, event budget, contracts and policy implementation to carry out successful events

Knowledge, Skills, Abilities:
Excellent interpersonal skills with the ability to develop and maintain professional working relationships with a variety of internal and external constituents.

Excellent communication skills with the ability to maintain confidentiality.

Strong organizational and detail-oriented skills, with the ability to independently coordinate multiple financial projects with competing deadlines.

Proficiency in using standard office software programs (e.g. Microsoft Word, Excel, etc.)

Demonstrated ability to independently analyze information, anticipate/identify problems and address them proactively.

Ability to take initiative and independently plan, organize, coordinate, and perform work in various situations where numerous and diverse demands are involved.

Ability to work independently as well as collaboratively.

Ability to provide lead work direction to others (e.g. student assistants, interns).

Work Schedule Requirements:
Ability to work evenings and/or weekends as needed.

Ability to travel and/or work at off-site meetings/events

Preferred Qualifications 

Demonstrated experience working in a financial environment

Experience working in an institution of higher education.

Knowledge of university infrastructure, policies and procedures
